Academic Affairs Division (HEA) is the most important department in UiTM Sarawak. The key function of HEA Division is the management of teaching and provision of a conducive learning environment. At the beginning of each semester, before the lectures begin, all the lecturers are provided with the Lecture Timetable to facilitate them to make preparations in advance so that lectures can run smoothly and efficiently. If lecturers wish to postpone the lectures, they have to come to the HEA office to fill the delay/postponement form and to go through various procedures. However, the most significant problem which causes a lot of trouble that burdens the HEA staff is unplanned postponement of lectures that are made at the final moment. This problem to some extent has affected the image and the service staff of HEA Division, which received information at the last moment. For example, lectures start at 8:00 am but the information is received at 8:30 or 9:00 in the morning. What is more burdensome is the information given or received is sometimes incomplete. HEA staff have to find and check the data or information from the file. In addition, the notice dissemination process takes a long time (about 1 hour - 1 hour 30 minutes) because the lecture rooms are far apart. To overcome this problem, a system known as the "Lecture Cancellation Notification System" was created for the purpose of more efficient and fast management. It incorporates the Short Messaging System (SMS) and web access system. Results of tests made with this system has found that each cancellation of lecture and the dissemination of information to the students only takes about 5 minutes. This project has managed to overcome the dissatisfaction among the HEA staff and students of UiTM Sarawak. |
